E-mail privacy is a hot topic these days, and the buzz about it has been rekindled by the latest news that Gmail, Hotmail, and Yahoo e-mail account passwords had been phished and posted online (which we covered here and here). This is neither the first nor the last time security has been or will be compromised by malicious individuals online who want to steal identities. However, it has certainly ignited an interest in the security of popular online websites.

How to Recall an Email Using Outlook

It’s one of those things that’s probably happened to most people. You click the send button in your email client and then … oh no! … realise that the email is being sent to wrong person! You desperately scrabble to cancel the sending but … too slow … and that picture you meant to send to your girlfriend is now on its way to your boss. Oops!

As we covered in a recent article, something similar happened to an employee of the Rocky Mountain Bank in Wyoming (let’s call him “Bob”). It seems that poor old Bob was asked to send certain documents to a particular Gmail address, but actually sent them to a completely different Gmail address. Ouch! Upon realising his mistake, Bob sent another email to that address asking that the recipient delete the initial email unread and to contact the bank to discuss the situation. Alas, Bob – who was probably sweating profusely by this time – didn’t get a response (which is not particularly surprising – I think the majority of people would have assumed that Bob was a scammer/spammer/phisher!).

Phishing attacks are a type of internet fraud where the perpetrator pretends to be a bank or other service provider to lure an unknowing victim into entering their credentials, giving up the keys to the real account. With the right awareness phishing attacks are easy to avoid, but it seems like FBI Director Robert Mueller did not get the memo.

zenbe_homepagePart of a relatively new generation of advanced webmail services, Zenbe (site | ESG database) has got a lot going for it: an intuitive layout, social network integration, innovative webmail features, a calendar, a handy list-maker, and a community workspace called Shareflow that could give Google Wave a run for its money. It aims to be an all-in-one solution to your online needs.

There’s a lot to love about Zenbe, but is it enough to justify paying a monthly fee, particularly knowing that most of the services that it integrates are themselves free? With a heap of ingenious features, remarkably few negative issues, the answer for a lot of people out there may be a resounding “yes”.

Microsoft Exchange 2010 Almost Here

Exchange 2010Microsoft today announced that their senior management have signed off on the final code for Exchange 2010. The product will now be shipped off to early adopters and manufacturers.

One of the most interesting features in the new release is the introduction of a hybrid mode, which allows a deployment to use both Microsoft based and local hosting for their Exchange solution. In other words, this will allow a company to integrate Microsoft Exchange Online with their on-premise setup.

Other new features in Exchange 2010 includes built-in archiving, improved High Availability (HA) and text-preview of voice mail (similar to what you’ll find on the iPhone and in Google Voice). Also worth noting is that the new release is 64-bit only.

Review of LotusLive iNotes

iNotesA few days ago we covered IBM’s announcement of iNotes – an email addition to LotusLive.

Judging by the name, iNotes sounds like a web-based replacement for Notes. I went into this review with excitement, but unfortunately the excitement did not last very long. For $3 per month (with just 1GB of storage), I expect much more than a very basic webmail client, which is pretty much all iNotes offers. Moreover, the only thing iNotes shares with Notes is the name and the color theme.

Getting E-mail Done

MailboxCredit for many of these ideas goes to David Allen, author of Getting Things Done.  I cannot recommend his work highly enough.

It’s a fact: people waste far too much time in their e-mail inbox.  You’re probably one of these people.  E-mail has a funny way of making it feel like you’re accomplishing something even if you aren’t.  The problem with that is that it can absolutely kill productivity – if used ineffectively.

As David Allen, creator of the Getting Things Done framework, says in his 2009 book Making it All Work, it’s not information overload that stresses us out, but potential-meaning overload.  In the book, he uses the analogy of nature, which is surely more stimulation than we can process – and yet we find it entirely relaxing.  However, if a snake or a bear could jump out at any time, Allen says, then we experience nature a lot less peacefully.

Many people treat their inboxes as though a “snake” or a “bear” could jump into the inbox at any time.

If you treat your inbox not as a useful tool but as a potential field of landmines, then there is simply no way you can be at your top form.

Spam. Junk Mail. Unsolicited Commercial Email (UCE). Call it what you will, it’s a pain in the butt. And it’s a problem which simply will not go away. So, what’s the best way to deal with spam? This post will look at some things that you should do to both minimize the chances of you getting spam and blocking as much as possible of the rest (that’s right, no matter what you do, you’ll almost certainly continue to get at least some spam in your inbox). 

But let’s start by looking at some things that you shouldn’t do. Firstly, never ever buy from a spam email. Sounds obvious, doesn’t it? But some people find those emailed offers simply too tempting to resist. For example, according to one report, spammers get roughly one reply per 12,500,000 – and that’s enough for them to make a profit. Secondly, never reply to a spam email or attempt to unsubscribe from their mailing list. Doing so may simply confirm that your email address is live (I’m not convinced that spammer do actually monitor responses in order to maintain a list of valid address, but why take the chance?). Thirdly and finally, don’t set your email client to automatically send out-of-office replies as this too could confirm that to the spammers that they have a real, working email address.

Industry-wide Phishing Scheme

A rather lame phishing attempt.

Yesterday we reported that Microsoft Live/Hotmail was exposed to an extensive phishing scheme. Apparently the attack was more extensive than this. BBC News reports that a second list with 20,000 accounts was published. Contrary to the first list, the second list included accounts from AOL, Comcast, Earthlink, Gmail and Hotmail. With that information, we can conclude that this is an industry-wide attack, rather than an attack on a particular provider.

Phishing attacks by themselves are nothing new, but this is probably one of the biggest attacks that I have ever heard of.

Security breach over at Windows Live (Hotmail)?

Windows LiveAccording to Neowin, there has been a major security breach over at Windows Live. Details are still scarce, but apparently a list of over 10,000 email accounts were posted over at Pastebin this past weekend. The list Neowin read listed account-names all starting with the letters A and B, which suggests that there might be additional lists. Neowin also points out that the leaked accounts seems to be valid and that most of them originate from Europe.
