Xobni: Search Faster and Smarter in Outlook

xobni_logoXobni is an add-on that extends the basic search functionality of Microsoft Outlook 2003 and 2007 and, according to its developers, “Saves you time finding email, conversations, contact info & attachments.” But, in fact, Xobni actually does much, much more than simply boost Outlook’s search performance. 

Installation is a quick and easy process and no configuration is needed. Once installed, Xobni spends several minutes indexing your email, which enables the application to return its speedy search results. To avoid taking up screen space unnecessarily, the pane that Xobni adds to Outlook can be collapsed or expanded with only a single click.

Microsoft to open up the PST-file format

The PST-format is used by Outlook

Paul Lorimer, Group Manager for Microsoft Office Interoperability today announced in a blog-post that Microsoft is planning to open up the PST file format. The PST format is used when Microsoft Outlook stores data locally.

Many Outlook users are using PST-files to make backups of their data. However, as it is a proprietary format, the data cannot easily be imported into any other application. While there are projects dedicated to reverse-engineering the format (such as libpff), open documentation would be welcomed by developers world wide.

Once Microsoft provide the community with this documentation, we will most likely see a lot of applications taking advantage of this. As PST-files are notorious for getting corrupted as they grow in size, 3rd-party repair tools are likely to become a lot more effective (and free). In addition to repair tools, we are also likely to see native PST import in desktop applications such as Mozilla Thunderbird and Apple Mail, as well as in various cloud based solutions, such as Google Apps.

Phishing attack targets Outlook Web Access

While this attack might not be very technical (we’ve seen these kinds of attacks for many years), I still think it is a brilliant attack. What makes the attack brilliant is that it does not use a generic fake page. WebSense Security Alert states that:

The malicious site is also very believable. The victim’s domain is used as a sub-domain to the site so that the attack site appears to be the victim’s actual OWA site. The victim’s domain name and email address are also used in a number of locations on the malicious site to make it that much more believable.

According to the above alert, the attack is fairly extensive with ‘30,000 of these messages per hour’ and it is likely to slip through anti-virus filters.

With more companies making the switch from Desktop applications to web-based applications, I think we will see an increasing amount of attacks. Moreover, with simple techniques such as reading the identification string of the server (e.g. through IMAP), the attacker can customize the attack to suit the victims server. If it’s an Exchange server, the attacker can send the above page. If it’s a Zimbra server, the user can send a similar page, but based on the Zimbra design.

How to Recall an Email Using Outlook

It’s one of those things that’s probably happened to most people. You click the send button in your email client and then … oh no! … realise that the email is being sent to wrong person! You desperately scrabble to cancel the sending but … too slow … and that picture you meant to send to your girlfriend is now on its way to your boss. Oops!

As we covered in a recent article, something similar happened to an employee of the Rocky Mountain Bank in Wyoming (let’s call him “Bob”). It seems that poor old Bob was asked to send certain documents to a particular Gmail address, but actually sent them to a completely different Gmail address. Ouch! Upon realising his mistake, Bob sent another email to that address asking that the recipient delete the initial email unread and to contact the bank to discuss the situation. Alas, Bob – who was probably sweating profusely by this time – didn’t get a response (which is not particularly surprising – I think the majority of people would have assumed that Bob was a scammer/spammer/phisher!).

Viewing emails in Zimbra Desktop

Zimbra Desktop is Zimbra’s answer to Microsoft’s Outlook. Contrary to what one would expect, Zimbra Desktop does not require a Zimbra server. It is simply a stand-alone desktop email client that works on all major platforms (Linux/Mac/Windows).

Zimbra Desktop comes with all the bells and whistles one would expect from an modern Personal Information Manager (PIM), such as POP3/IMAP support, contacts and calendar. In addition to these features, Zimbra Desktop also supports contacts and calendar synchronization with both Yahoo! Mail and Gmail. As far as features goes, it comes close to Outlook. At a low price of $0, could it be a potential Outlook killer?

Can’t Access Your Hotmail with Outlook, Outlook Express or Entourage?

outlook2007_webOn 1st September 2009, Microsoft finally dumped the Distributed Authoring and Versioning (DAV) protocol that had previously enabled Hotmail users to access their email through Outlook Express, Outlook and Entourage. What this means is that people attempting to access their Hotmail account with one of these email clients after 1st September will be presented with an error message:

Hotmail – Sending reported error (0×800CCC33): “Access to the account was denied. Verify that your username and password are correct. The server responded ‘forbidden’.
